Terms & Conditions

AGREEMENT

Submitting your booking confirms everyone on the booking accepts these booking conditions.

COVID 19

By completing this booking you confirm that you or your child fall within the current government guidelines and are applicable for wraparound childcare.

PAYMENTS

DEBIT AND CREDIT CARD PAYMENTS

There are no charges for credit/debit cards. All payments are made via Paypal and we do not store any of your payment details.

CHILDCARE VOUCHERS & TAX-FREE CHILDCARE

Please allow up to 5-7 working days for Childcare Vouchers to reach us and use your Booking ID and child’s name as a reference. Voucher payments must reach us before the first booked date, any unpaid bookings are not secure and may be cancelled.

PAYMENT PLANS

All bookings under our payment plan system must be settled in full 7 days prior to the first booked date. Failure to do so could result in the booking being cancelled.

CAN I BOOK MORE DAYS AFTER MY ORIGINAL BOOKING?

We understand that as a parent your timetable is constantly changing. If you decide that you want to book more days for your child, you can do so anytime by visiting our website at www.megacamps.net to make a second booking. All of your bookings are available for viewing within your online account via the 'booking history' section.

BOOKING CONFIRMATIONS

Once you have made a booking with us this is confirmation for your child’s place at Mega Camps.. Please check it thoroughly to make sure all details you have entered are correct for your child and all other essential information. The person making the booking will be held responsible to ensure all information is correct and up to date. If your booking is incorrect in any way, please email or call us immediately.

BOOKING CANCELLATIONS

You will only receive credit for cancellations if you have taken out our Flexi Booking Care at the time of your booking. Without this, you will not receive credit for any paid part of your booking under any circumstances.

FLEXI BOOKING CARE

We only offer credit for cancellations if our Flexi Booking Care cover is taken out at the time of booking. Cancellations must be made no later than 24hrs prior to the day in question. Our Flexi Booking Care only covers the booking reference in which the cover is attached to.

REFUNDS

We do not offer refunds on any bookings made. Credit will only be offered when the booking is covered by our Flexi Booking Care.

LATE COLLECTIONS AND EXCLUSIONS FROM CAMP

Mega Camp's latest child collection time is 6pm if you have added extended hours to your booking. Late collection between 4pm and 6pm will be charged at a standard rate of £8 per child. Please note; where children are collected after 6pm an automatic ‘Late’ fee of £1 per minute will be added to your account. This must be settled before the child can return to camp. Refunds will not be offered for any days missed and compensation will not be made for any other costs incurred. If we feel that a child’s behaviour is unacceptable and/or is potentially causing a safety issue for the child in question, other children and/or staff on site we have the right to ask the child to be collected immediately and authority to cancel their booking long term if necessary.

HEALTH AND SAFETY AT CAMP

The Health and safety of all children in our care is our top priority. Therefore children with certain additional needs or those that need specific support may be unable to participate in some of our activities. In these particular cases, we will always do our best to provide alternative activities and discuss options to implement the correct support if we can safely.

PROVIDING CHILD DETAILS

It is essential that when booking your child onto Mega Camps that all information for each child is accurate and up to date. This is to ensure that we have all the necessary information to safely care for all children on site. Failure to ensure information is accurate and up to date may result in your booking being cancelled with us. All newcomers to Mega Camps are required to display a copy of their child’s Birth Certificate along with any other parental responsibility documents. Without seeing these your child may not be able to attend Mega Camps. All information given will be treated in complete confidence.

CHILD SAFEGUARDING AND PROTECTION

Mega Camps always have Child Protection and Safeguarding at the forefront of our practice. Therefore as a childcare provider it is our responsibility to care for all children whilst in our care. Mega Camps staff are trained to be aware of any signs of child abuse and make referals where they feel is necessary. Mega Camps will take advice from the relevant Child Safeguarding Organisations and Local Authorities to make the best decision to protect each child.

NO NUTS POLICY

Mega Camps operate a strict NO NUTS policy.

STAFF / CHILD RATIOS

Mega Camps have a strict 1:8 ratio for children who are classified as an Early Years Child. (Ages 4 and 5). For children aged 6 to 14 years we operate a 1:15 minimum ratio.

WANT TO SEE YOUR CHILD IN ACTION?

As long as we have consent from you as a parent, we take photos of the daily highlights. These are then uploaded onto our social media pages on a regular basis for parents to see what their child is getting up to. If after making your booking this changes then you must inform the Camp Manager at registration on the day. Make sure you like our social media pages so you can view photos from future and past camps. Whilst we try our best to include all children we can’t guarantee that your child will be in the photos.

LIABILITY & LOST / DAMAGED PERSONAL PROPERTY

If any personal property is brought to Mega Camps we will not be held responsible or liable for the damage or loss of these items. We strongly recommend your child only bring essential items with them to Mega Camps each day and double check they have all of their belongings upon collection.

Mega Camps does not accept liability for personal injury or death of any person unless directly caused by the proven negligence of the company or its servants, in this event our liability insurance provides cover of up to £5 million.

MEGA ACTIVITIES AND DAILY SCHEDULE

Each season, we advertise different activities that may be offered to your child when they attend. These may need to be amended every now and then due to unforeseen circumstances. In these instances, we will always do our best to replace activities with a suitable alternative. You also have the option to move to another Mega Camps venue and/or choose an alternative date if available. This is subject to other conditions within these terms. Under no circumstances will Mega Camps offer a refund or compensation.

COMPLAINTS POLICY

Mega Camps will always do our best to make sure all children have the opportunity to have a great day with us. We understand that there may be times where this may not be the outcome for you or your child. Therefore if you are not happy with anything you or your child has experienced please let our Mega Camps team know asap. If you have experienced a problem whilst your child is on site please talk to the Camp Manager. If the Camp manager is unable to resolve this for you please contact our Head Office Team immediately by emailing customersupport@megacamps.net

All complaints will be taken very seriously. Please note we aim to respond to all complaints within 48hrs.

Verbal or Physical abuse towards any of our staff is not tolerated and your bookings will be cancelled with immediate effect.

DATA PROTECTION

For GDPR purposes Mega Camps act as Data Controller. To ensure we are able to provide a safe and controlled environment is required that we collect personal details about yourself and any children attending. It is your responsibility to make sure you have permission to share any information provided on your booking with Mega Camps.

Some of the data provided will be held securely for marketing and informational purposes. We will request your consent to hold this data when creating your account, you can opt out at any moment by using our unsubscribe options or emailing support@megacamps.net.
